Terms governing the use of our services

1. Introduction
These Terms and Conditions ("Terms") govern your use of CleanQ Limited's cleaning services and website. By engaging our services or using our website, you agree to be bound by these Terms.

2. Services
2.1 Service Description
CleanQ provides professional cleaning services for nurseries, preschools, and early-years childcare facilities in Bromley, Kent and surrounding areas. Our services include but are not limited to:
- Regular scheduled cleaning (daily, weekly, or custom schedules)
- High-touch sanitisation
- Deep cleaning services
- Specialist cleaning (carpets, windows, play equipment)
- Emergency cleaning call-outs
2.2 Service Agreement
Services are provided subject to a written agreement between CleanQ and the client, which will specify:
- Scope of services
- Frequency and scheduling
- Pricing and payment terms
- Duration of contract
3. Pricing and Payment
3.1 Quotes
All quotes are valid for 30 days from the date of issue unless otherwise stated. Prices are subject to VAT where applicable.
3.2 Payment Terms
- Payment is due within 14 days of invoice date unless otherwise agreed
- We reserve the right to suspend services if payment is overdue
- Late payment may incur additional charges
3.3 Price Changes
We reserve the right to adjust prices with 30 days' written notice. Price increases will not exceed the rate of inflation unless service scope changes.
4. Client Responsibilities
The client agrees to:
- Provide safe access to all areas requiring cleaning
- Notify us of any hazards, special requirements, or access restrictions
- Ensure utilities (water, electricity) are available
- Provide secure storage for cleaning equipment if required
- Report any issues or concerns promptly
- Ensure pets are secured during cleaning visits
5. Scheduling and Cancellation
5.1 Regular Services
Regular cleaning services will be performed as per the agreed schedule. Changes to the schedule require 48 hours' notice.
5.2 Cancellation by Client
- Individual visits: 24 hours' notice required to avoid charges
- Contract termination: 30 days' written notice required
- Cancellations with insufficient notice may incur a cancellation fee
5.3 Cancellation by CleanQ
We reserve the right to cancel or reschedule services due to staff illness, emergency situations, or unsafe working conditions. We will provide as much notice as possible.
6. Quality Assurance
We are committed to providing high-quality services. If you are unsatisfied with any aspect of our service:
- Report issues within 24 hours of service completion
- We will investigate and address concerns promptly
- We will re-clean affected areas if necessary at no additional charge
7. Liability and Insurance
7.1 Insurance Coverage
CleanQ Limited maintains comprehensive insurance including:
- Public Liability Insurance (£5 million)
- Employer's Liability Insurance (£10 million)
- Professional Indemnity Insurance
7.2 Limitation of Liability
- We are liable for damage caused by our negligence or that of our staff
- Clients must report any damage within 24 hours
- Our liability is limited to the value of services provided in the preceding 12 months
- We are not liable for pre-existing damage or items not disclosed to us
7.3 Client Property
Whilst we take utmost care, we recommend that valuable or fragile items are secured. We cannot accept liability for items left unsecured.
8. Health and Safety
8.1 COSHH Compliance
All cleaning products and procedures comply with Control of Substances Hazardous to Health (COSHH) regulations. Safety data sheets are available upon request.
8.2 DBS Checks
All cleaning staff working in childcare environments undergo DBS (Disclosure and Barring Service) checks.
8.3 Risk Assessments
We conduct Risk Assessment and Method Statements (RAMS) for all services and update them regularly.
9. Confidentiality
We respect your privacy and maintain confidentiality regarding:
- Your business operations and practices
- Any information obtained during service provision
- Access codes, keys, and security information
10. Data Protection
We process personal data in accordance with UK data protection laws. Please refer to our Privacy Policy for detailed information.
11. Intellectual Property
All content on our website, including text, images, logos, and designs, is the property of CleanQ Limited and protected by copyright laws.
12. Force Majeure
We shall not be liable for failure to perform services due to circumstances beyond our reasonable control, including but not limited to natural disasters, strikes, or government restrictions.
13. Dispute Resolution
13.1 Informal Resolution
We encourage clients to contact us directly to resolve any disputes or concerns.
13.2 Formal Complaints
If informal resolution is unsuccessful, formal complaints should be submitted in writing to info@cleanq.co.uk. We will investigate and respond within 14 days.
13.3 Governing Law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
14. Amendments
We reserve the right to amend these Terms at any time. Material changes will be communicated to active clients with 30 days' notice.
15. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
